Main purpose of job:
As the MIS & Business manager at Little Gate College, you will be providing high quality reliable student data to support the college with management decision-making and provide our stakeholders with regular timely and accurate updates, statistical analysis and management reporting, whilst utilising sector-specific information and funding trends to inform future strategy.

£31,200 per annum full time (40hrs per week over 5 days, Monday – Friday, year round) to include mandatory 10 days of CPD training dates TBC.

Safeguarding requirements:

Main tasks of job:
· To contribute to the development and successful delivery of the College Operational Plan which supports the College’s mission, strategic objectives and core values.
· Lead and manage the MIS for the College.
· Develop and embed quality standards for the MIS and service level agreements for the College, ensuring these are maintained and the effectiveness monitored and reviewed.
· Manage, develop and deliver timely and reliable information in accordance with agreed plans and schedules, including reports from across all College systems such as CRM, SharePoint and future systems to all tiers of the Charity, including the Senior Leadership Team.
· Manage timely and accurate returns to college stakeholders such as ESFA, Local Authority and DfE for example, ensuring the College maximises its funded contract values and is compliant with funding rules and regulations.
· Implement the College Health and Safety Policy across all areas within the allocated work with support and direction from the Head of College.
· Support the Head of College to manage resources in order to achieve maximum efficiencies and enhancement to the student experience.
· Support the departmental communication plan to ensure the best possible flow of information to staff
· Work with the Head of College & Programme Manager to review EHCPs, design and develop curriculum plans to ensure the curriculum planning process meets allocations from all funding sources and informs the production of accurate and timely timetables and registers across the college.
· Manage budgets against agreed income and expenditure targets, adhering to the College financial regulation at all times with support from the finance team, Head of College and CEO.
· Maintain the central College student databases ensuring that both course and student data is held securely, with integrity and meets all regulatory and statutory requirements.
· Oversee the use of College systems to develop an integrated approach to system processes and data reporting and evaluation. To work proactively with colleagues across the College taking the initiative to resolve issues as they arise and contribute to appropriate College meetings.
· Provide up-to-date data, for multi-agency meetings.
· Support the Head of College to manage visits from internal/external auditors being point of contact for all Learner Funding auditors e.g. ESFA and Ofsted, providing accurate and timely information and carrying out any necessary follow ups.
· Lead in all aspects of quality assurance related to the allocated work, ensuring staff are fully engaged with the college quality assurance processes and that targets are agreed, and key performance indicators are met.
· Support the Head of College and Programme Manager with qualifications and funding advice to be shared to all staff and support training on college systems and processes.
· Support the Head of College and Programme Manager to ensure students are enrolled on the correct programme(s) and registered on the correct qualification aims and correctly registered with regulatory organisations (within required timeframes).
· Support the Programme manager & Head of College to ensure students in receipt of an EHCP have their outcomes met.
· Support College Staff to monitor attendance for all students.
· Attend and participate in any meetings and training events to support, develop and improve college team and individual work performance.
· Understand uphold and adhere to all policies and procedures of Little Gate College.
· Respond to section complaints and work with the Head of College to reach a timely and effective resolution, using the college policies and procedures.
· Uphold the reputation of Little Gate, representing the organisation and work trainees professionally.
· Support staff, parents/carers, internal and external appropriate stakeholders in maximizing the potential of employment trainees for a successful journey into paid work.
1. Staff:
· Maintain professional and vocational currency through CPD, professional updating and contribute to the development of others as required
· Input agenda items to weekly team meetings. Use this process as a key forum for information / good practice sharing, management direction and team consultation for Future Ready and Supported Internship provision.
· Participate in a positive team culture of praise and developmental feedback where staff can give and receive feedback openly
· Liaise with the Little Gate Human Resource Department and Head of College to ensure the College adheres to Little Gate policies and procedures within all processes and systems.
· Support the College team to collect correct data that can be interpreted into Impact Reports.
· Maintain clear accurate records using systems to ensure data for LEA, ESFA, Free school meals.
· Understand uphold and adhere to all policies and procedures of Little Gate College.
· Assist with marketing and social media content for the promotion of the college.
· To ensure quality compliance is adhered to in line with regulatory, contractual, and internal policies and procedures. Be able to evidence clear, concise, and accurate records, generate own documents and maintain own filing system
2. All:
· The ability to take part in opportunities and training to boost your own learning and continuous professional development and knowledge of Little Gate’s specialist offer.
· Work in accordance with health and safety policies, identifying and managing workplace risks.
· Knowledge of Health and Safety at Work Act (training can be provided)
· Promote good working practices, lead by example, and redefine best practices regularly.
· Foster excellent working relationships between teaching and support staff, job coaches, management teams, work trainees, and employers.
· Support & handle emergencies and problems swiftly, ensuring Head of college and college staff have the information they need.
· Seek Contract opportunities nationally and locally that are appropriate for Supported Employment work and in particular for the College.
· Maintain clear and accurate records in compliance with UK GDPR 2018.
· Adhere to BASE competencies for quality assurance;
· BASE is using a short version of the Supported Internship Quality Assurance Framework (SIQAF) to audit the model fidelity of Supported Employment services.
· There is growing pressure from employers and commissioners for employment services to demonstrate their quality in an independent and transparent way. This quality accreditation aims to provide that assurance.
· You will support the College team to provide detailed case notes, arrange a schedule of interviews with stakeholders, management, staff, clients and employers for the audit team at BASE. This will enable Little Gate to apply for the SIQAF mark.
3. You:
· Conduct regular meetings with the Head of Little Gate College to discuss students, funding, compliance and address any challenges while measuring progress in line with programme managers and redefining targets.
· Ensure a physical presence within the College office a minimum of three days each week
· Identify and address learning needs, proactively developing knowledge through peer networks, training programs, and reflective practice.
· Prioritise physical and mental well-being as a role model for staff and work students.
· Collaborate closely with the Head of Little Gate College to ensure opportunities align with the mission and values of Little Gate.

Person Specification;
Essential Criteria;
· English & Math level 4/C and above or equivalent
· Use IT systems including Office 365 independently, efficiently and effectively.
· Computer and IT literate – with insight and experience of embedded knowledge of Excel, Outlook and MS Office programmes, SharePoint, Management Information Systems.
· Ability to travel efficiently and independently.
· Have excellent written and interpersonal communication skills.
· A minimum of 2 years experience of understanding of management information systems, including their impact on people, processes, finance and technology within Education or similar.
· Self-organisation and self-motivation.
· Able to use personal initiative within a structured framework.
· Good negotiation skills.
· Ability to communicate effectively both orally and in writing, with other staff, trainees/customers, employers, and other professionals.
